Retention, seats & limits

Four limits scale with your plan: how much cost history you can see, how many seats your team gets, how many integrations you can connect, and how many saved reports you can keep. All four are enforced server-side. For pricing and spend bands, see Tiers & spend bands.

Retention is how far back your cost history goes. Free keeps 6 months; retention deepens with each paid plan up to 36 months on Scale. Queries and reports can look back only as far as your retention window, so a longer window means longer trend lines and year-over-year comparisons.

Retention is a query-time floor, not a delete rule — CloudQuell keeps ingesting and storing your history regardless of plan; your window just masks anything older than the limit. So when you upgrade, the extra history is unmasked immediately: the deeper trend lines and comparisons appear right away, with no waiting for new data to accumulate and no backfill delay.

A seat is one member of your organization. Free includes 2 seats, Starter 5, Growth 15, and Scale is unlimited. Both current members and pending invites count toward the cap — an invite reserves a seat as soon as you send it — and removing someone (or canceling a pending invite) frees the seat immediately. Free connects up to 3 integrations across any mix of providers — AWS accounts, Azure subscriptions, GCP projects, Snowflake, Anthropic, and OpenAI all count the same; every paid plan allows unlimited integrations. Add them from Integrations.

Free can keep 5 saved reports; paid plans remove that cap. You can still build and export detailed reports on Free — the limit is only on how many you save. See Saved reports.

What happens if Free spend exceeds the cap

The Free plan is for organizations under $10K/month in cloud spend. If your measured spend climbs toward and past that cap, CloudQuell steps up a spend ladder rather than cutting you off abruptly:

  • Around 90% of the cap — a dismissible in-app banner (and an email nudge) lets you know you’re approaching the Free limit.
  • Around 105% — a stronger, non-dismissible warning appears.
  • Around 110% — a data freeze kicks in: the portal and the MCP server stop showing new data. Ingestion never stops running behind the scenes, and nothing already stored is deleted — the freeze only pauses newly ingested days from appearing.

The freeze lifts automatically once you upgrade to a paid plan or your spend drops back below the cap; the paused days then become visible again. This band ladder is about staying within the Free spend cap — paid features stay behind their usual upgrade prompts regardless of spend.
