Scheduled report emails

Instead of remembering to check the dashboard, have CloudQuell bring the numbers to you. A scheduled report email is a recurring recap of accrued costs — what you spent in the period just ended, how it compares to the period before, and which services moved — delivered on a cadence you choose.

There are three kinds:

  • The All Costs digest — one org-wide recap across every provider you’ve connected (AWS, Azure, GCP, Anthropic, OpenAI, Snowflake). Included on every plan, including Free.
  • Personal report schedules — a recap of any saved report, delivered to you alone. Private to you: teammates don’t see it, and it doesn’t count against your organization’s shared limit. Available on paid plans.
  • Team report schedules — a recap of a saved report sent to an explicit list of up to 5 email addresses (plus, optionally, Slack or Teams). Visible to your whole team, and editable by the person who created it or any Admin. Available on paid plans.

Head to Admin → Notifications → Email reports.

  • Set up weekly digest creates the org-wide All Costs digest. One per organization.
  • Schedule a saved report picks any report from your library, then choose Just me (personal) or Team… (enter the recipient emails). Each report can have one team schedule for the whole organization, plus one personal schedule per person.

You can also schedule straight from a report: open any saved report and use the Schedule report button in its toolbar to start a personal or team schedule, change its cadence, or stop it — the same schedules the Notifications page manages. Once a schedule exists, the button shows its status instead — for example Emailed to you weekly or Team email monthly.

Each schedule has its own cadence — daily, weekly (Mondays), or monthly (the 3rd, covering the previous calendar month) — and can be paused or deleted at any time. A personal schedule is managed only by its owner; a team schedule is managed by whoever created it and by Admins. Any Contributor or above can create schedules.

  • The All Costs digest resolves its recipients from your team roster at send time — no list to maintain. It goes to all Super Admins, Admins, and Contributors by default; Viewers don’t receive it unless they opt in. Members control their own copy from Profile → Email preferences, or from Notification preferences in the account menu — the same toggles appear in both places.
  • Personal report schedules go to their owner only.
  • Team report schedules go to the exact email addresses listed on the schedule — which can include people who aren’t CloudQuell users. The schedule’s row shows who created it and who’s on the list, so it’s always clear where a report is going.

Every email carries a one-click unsubscribe link (and the standard unsubscribe header your mail client surfaces). For the digest it flips your personal toggle; for a report schedule it removes just your address from that schedule. When a teammate is removed from the organization or leaves, their personal schedules are deleted and their address is dropped from any team schedules automatically.

The digest and team report schedules can also mirror their recap to Slack or Microsoft Teams. An Admin adds the channel under Admin → Notifications first (creating channels is an Admin action; Contributors can attach a channel that already exists). Then tick it on the schedule’s Also post to: row. The post carries the headline numbers, the top services, and a link to the full report — the email remains the complete version. Personal schedules are email-only.

The recap mirrors what you’d see in the app for that period:

  • Accrued Costs and Previous Period Costs — the period just ended vs. the same-length period before it, in your organization’s display currency.
  • A breakdown table — provider and service (or the report’s own grouping — account, region, or category) with each row’s change percentage. A report grouped some other way — by tag or cost center, say — recaps by service in the email, and cost-center filters likewise apply in the app rather than the emailed totals; the button below opens the report itself, with its full grouping and filters.
  • A View full cost report details button — the all-sources Overview for the digest, or the saved report itself for report schedules.
